OutPass

A one-tap sign-out log for students leaving campus.

OutPass is a sign-out log for students leaving campus for early dismissal, appointments or off-campus lunch. A student scans their ID card at a front-desk kiosk and is signed out straight away, with the time recorded. The front office can then search and report on every departure instead of paging through a paper binder.

For front desks, early dismissal, off-campus lunch.

All 19 features

11 of them can be tried in the demo.

Sign-out station

One scan signs out
Scanning an ID signs the student out right away, with no extra tap. A short confirmation shows, then the station is ready for the next student. Try it: One scan signs out
Scan any student ID
Reads barcodes and QR codes in 17 formats through the device camera. Try it: Scan any student ID
Right camera by default
Uses the front camera on iPads mounted at a desk, and the rear camera on other devices.
Self check-out and staff-help modes
Students sign themselves out, or front-desk staff do it for them. Try it: Self check-out and staff-help modes
Manual fallback
Type the ID or search by name when a card is missing. Try it: Manual fallback

Corrections

Manual log
Front-desk staff add a sign-out that was missed, with the real date and time. Try it: Manual log

Sign-in

Staff login
Every page sits behind a staff login, with a secure session cookie and a sign-out button on each page.

Reports

Password-protected reports
Student history sits behind a separate reports password. Access ends when the browser tab is closed. Try it: Password-protected reports
Filters
Filter by date range, event type, mode, grade, student and current status. Try it: Filters
Who's out right now
The current-status filter looks at each student's latest event across all dates, not just the date range on screen. Try it: Who's out right now
Sign out from the report
Fix a record straight from the results table. The button only appears on each student's most recent row. Try it: Sign out from the report
CSV download
Export exactly what the filters show, for spreadsheets or records. Try it: CSV download
Email a report
Opens your email app with a summary of the filtered results already written. Try it: Email a report

Data and setup

Google Sheets as the database
The student roster and the event log live in a Google Sheet your office already knows how to read, sort and share.
Automatic log cleanup
Old entries are removed after a set number of days (7 by default), so the log stays small and private.
Your time zone
Every timestamp is recorded in the school's local time.
Barcode test page
A built-in page for checking that a new card printer or camera reads your ID cards before go-live.

Security

Rate limiting
Each device is limited to a sensible number of requests per minute, which stops scripts from flooding the system.
Input checks
Student IDs and search terms are checked and cleaned on the server before anything is looked up or saved.

Works with

  • Google Sheets: the roster and the sign-out log
  • Student ID cards with a barcode or QR code
  • An iPad at the front desk (front camera) or any device with a camera

How student data is handled

  • The student roster and the sign-out log are kept in a Google Sheet your school owns.
  • Every page sits behind a staff login with a secure session cookie, and reports need a separate password.
  • A cleanup removes log entries older than a set number of days (7 by default, adjustable).
  • Repeated wrong passwords lock that device out for 15 minutes.

Common questions

Does a student have to tap anything after scanning?

No. One scan signs the student out. A short confirmation shows, then the station is ready for the next student.

Can staff record a sign-out that happened on paper?

Yes. Front-desk staff add it in the manual log with the real date and time. Every entry records whether it was scanned or typed.

Can we see who is off campus right now?

Yes. The reports page has a current-status filter that looks at each student's latest entry, and the results can be downloaded as CSV.

Where is the data kept?

In a Google Sheet your school owns. Old entries are removed after a set number of days, 7 by default.
